Time saved is not automatically cash saved
If a task takes less time, you may gain capacity. That becomes a cash saving only when an actual expense falls. It may support growth when the freed time is put into work that produces value. Keep those outcomes separate in your calculation.
Include the full cost
- Software subscriptions and usage charges.
- Setup, migration and training.
- Ongoing review, corrections and maintenance.
- The cost of errors and interruptions.
Use a baseline and a small trial
Record how long the process takes before the change and how often errors occur. After the trial, use the same measures. If the work volume or staff changed at the same time, avoid attributing every difference to the new tool.
Choose a decision threshold
Decide in advance what would justify continuing: a reliable reduction in total effort, a measurable quality improvement or a clearer handover. Also decide when to stop. A modest, well-understood improvement is easier to sustain than an optimistic estimate.
