Map the current process

Write each step on a separate line and identify its input, owner and output. Mark the places where work waits, information is copied or the same question is asked repeatedly.

Improve in this order

  1. Remove: eliminate steps that do not support a useful outcome.
  2. Standardise: agree a consistent input and output format.
  3. Assist: use templates or AI where a person can check the result.
  4. Automate: connect stable steps with clear rules and exceptions.

Keep a small operating guide

Record who owns the workflow, how failures are reported and how to pause it. Include a sample of a correct output and the cases that always require human review. This makes the system easier to maintain when the original creator is unavailable.
