Practical AI for business

Tool Comparison Worksheet

A reusable worksheet for comparing two tools against the same business requirements.

Define the comparison

Write the task, audience, input, expected output, plan and date. If comparing ChatGPT with Claude, choose a drafting or analysis task and verify the required features in each provider’s documentation. If comparing Zapier with Make, specify the exact apps, trigger, actions and exception path.

Decision owner: Task and expected output: Tool A and plan: Tool B and plan: Official documentation and date checked: Must-have features: Sample inputs (non-sensitive): Acceptance criteria: Setup time: Execution time: Checking and correction time: Recurring cost and usage assumptions: Errors and limitations: Data permissions and export options: Decision and reason: Date to review the decision:

Keep the test fair

Use equivalent inputs and the plans you would actually use. Record settings and repeat attempts consistently. Include incomplete or awkward input, not only the easiest example. Do not turn a small test into a claim about every task.

Document the trade-off

The best fit may change when your workload, team or budget changes. Explain what matters most and what you are accepting in exchange. Link to the sources supporting your decision.
